The Royal Liverpool & Broadgreen University Hospital NHS Trust requires a document scanning solution to digitise and appropriately index active medical records on-site and to provide them in an appropriate electronic format for import into the Trusts EDMS (Documentum) The Trust will look at bulk library scanning of approximately 300,000 records (60M images) over a 2 year period with the majority being scanned in the first 12 months. On-going scanning will also be required to support health record supplements whilst separately developing electronic capture of data (volumes included in figures above) Tender responses will only be considered from suppliers who can evidence documented experience with Health Records in the UK. Knowledge and experience of associated governance issues relating to the digitisation of medical records in general, and within the NHS specifically, is required. Management of the full end-to-end process (from file preparation and scanning to confidential and secure destruction of records) is required. Scanning equipment used should be OPEX DS2200 or equivalent to ensure minimal preparation time and high quality images. Repository for images is already in place and proven experience of integration to Documentum using EMC Captiva is essential.
The scanning process will be carried out by existing staff within the Trust with on-site supervisor/management assistance from the provider. Services required in addition to software will include project management, implementation, integration management and training services
