Description:
Delivery, adaptation, migration and commissioning of a CAFM software

Delivery, adaptation, migration and commissioning of a CAFM software to support the technical and infrastructural building management.

The client is BA-Gebäude-, Bau- und Immobilienmanagement GmbH, a wholly-owned subsidiary of the Federal Employment Agency (BA). The AG is responsible nationwide for the management of all construction and real estate measures of the BA for the owner-occupied real estate and for the leased space of the BA. To support the technical and infrastructural building management, computer aided facility management (CAFM) software will be procured, adapted and implemented. The contractor (AN) must implement a software for operation within the IT infrastructure of the AG. The client is looking for a software that meets most of the requirements already in the standard. The description of services is therefore essentially based on the GEFMA 444 guideline (available at https://www.gefma.de/shop/) "Certification of CAFM Software", whose catalogs A1-A3, A9, A10, A13 and A14 are the bidders In order to ensure the exchange of data with the parent company BA, the tenderer must prove that he has already implemented extensive interfaces to SAP R / 3.

Framework conditions for the CAFM project:

Online:

- about 100 to 120 simultaneous FM agents,

- about 90 informative users (web access sufficient),

- about 50 external agents of help desk tickets (TGM service providers without direct access to the CAFM),

- Another 100 or so users who can submit messages through the help desk.

Functional priorities:

- Documentation of the structural and technical equipment inventory,

- Graphical documentation and representation of surfaces,

- Construction maintenance including budget and project management with cost tracking,

- controlling external TGM service providers,

- administration of leases (purchase and rental),

- Helpdesk,

- support of mobile devices and processes,

- flexible reporting and dashboarding.

interfaces:

- CAD interface (AutoCAD / DWG files, currently with article delta CAD FMdesign),

- WinDream (document management and invoice verification),

- COBRA (proprietary development of parent company BA with object and order information),

- SAP S / 4HANA (currently implementation project in the parent company),

- System and DB interfaces under MS Windows (AD, MS SQL, Oracle, etc.).

Additional Services:

- Creation of a web-based input portal for uploading maintenance-related documents (maintenance logs, offers, invoices, etc. with assignment to objects),

- largely automated data transfer (graphic and alphanumeric) from predecessor CAFM software (conject FM) for around 1,600 objects with approx. 4.6 million m 2 NRF (one time),

- user training (one time), approx. 5,500 DWG plans,

- Software maintenance (ongoing).
