The subject of the contract is the construction of a document circulation system enabling management and modeling of processes and implementation of selected internal processes (4 stages):
- stage 1 - pre-implementation analysis,
- stage 2 - supplies, installations,
- stage 3 - implementation of processes,
- stage 4 - training, documentation.
As part of the contract, the Contractor will be required to:
1. Stage 1 - performing the pre-implementation analysis.
2. Stage 2
a. delivery of the license of the document circulation system platform,
b. installation of an electronic document flow platform (workflow) along with the automation of business processes,
c. delivery of scanning devices.
3. Stage 3 - Implementation of the following processes as part of the delivered platform:
a. in the area of "Finance and controlling":
- preparing and controlling the implementation of the budget of units and universities,
- applications for purchase, order execution, contract and publishing application,
- handling cost invoices,
- preparation of contracts and internal legal acts, legal services;
b. in the area of "University administration"
- incoming, outgoing and internal correspondence;
c. in the area of 'Property management and investments'
- commercial room booking;
d. in the area of "Providing human resources"
- servicing domestic and foreign delegations, using private cars
• holiday support,
• handling staff applications,
• recruitment of employees;
e. archive of electronic documents;
f. developing mechanisms and implementation of integration with systems used at the university relevant from the point of view of process implementation.
4. Stage 4:
a. conducting training for administrators of the document circulation system,
b. conducting a set of training sessions for the Employer's employees. It is required to conduct 20 trainings in the form of one-day workshops for groups of maximum 20 people,
c. developing and providing electronic documentation for system administrators and end users.
5. Provision of warranty service within 36 months of the end of the project including the work of consultants / service technicians and updating the software to the latest available versions.

The contracting authority allows submission of equivalent offers. In cases where the description of the subject of the order indicates trademarks, patents, origin, source or a specific process that characterizes specific products or services, this means that the Purchaser cannot describe the subject of the contract by means of sufficiently precise terms and this is justified by the specificity of the subject of the contract . In such situations, any indications of trademarks, patents, origin, source or specific process should be read with the words "or equivalent". The Contractor, who refers to equivalent solutions described by the Employer, is obliged to demonstrate that the supplies offered by him meet the requirements specified by the Employer in the description of the subject of the contract. In situations where the Employer describes the subject of the contract by reference to standards, European technical assessments, approvals, technical specifications and technical reference systems referred to in art. 30 paragraph 1 point 2 and par. 3 of the Public Procurement Law allows for equivalent solutions to those described.
