The city of Lehrte intends to reschedule its current central printing and copying solution.
The subject of this tender is a rental agreement that is calculated on the basis of a monthly basic amount, the associated service including consumables excluding paper and staples. In addition, a click price has to be agreed.
Furthermore, these new devices will continue to maintain personalized printing using chip authentication and central management software for all devices integrated in the city of Lehrte network.
Follow-me printing for personalized printing is also to be partially retained.
The client intends to rent 68 standing photocopiers of different categories, 31 multiradio
tion benchtop devices (MFP) of various categories, 32 tabletop laser printers and an in-house printer (copy line) for a fixed period of 5 years.
The contract period is 60 months. The installation and commissioning of the devices is planned at the beginning of the contract term on April 1, 2022. An automatic contract extension is not envisaged; nevertheless, the client wants a one-sided 6-month extension option once.
The photocopiers currently rented are to be replaced by new equipment accordingly and partially increased. The locations are distributed throughout the city of Lehrte, including the districts (see appendix “3.0 - Locations, Contacts and Invoice Segment”).
In addition, management software is to be used to centrally administer, monitor, configure, assign and manage all copiers, MFPs and, if necessary, printers integrated in the LAN.
In addition, personalized printing via authentication using the time recording chips used by the city of Lehrte is to be used to ensure data security when printing! In addition, device disclosure can also be done optionally via individual network login. A corresponding print management (“follow-me printing”) should also be carried out for personalized printing. This is relevant for device categories A.1, C, and F.
The bidder must deliver the devices accordingly and install them at the respective locations within the respective office buildings in such a way that they are generally preconfigured by the client's employees from 01.04.2022 with at least the functions: copy, follow-me-print, fax, scann2mail, scann2folder (according to specification) can be taken!
The bidder is also obliged to provide a full service throughout the contract period, i.e. to maintain the equipment, eliminate malfunctions and supply the required consumables (such as toner, drum, waste toner container, etc.) — with the exception of paper and staples.
