Operational and organizational planning within the framework of requirements planning / project development (LPH 0) of the Max Planck Campus Martinsried

The subject of the contract to be awarded are services in the field of architectural and engineering services concerning the analysis of the organizational and functional relationships of the existing institutes and, based on this, the development of the functional relationships for the new 'Life Science Campus Martinsried'. In an iterative process, an optimal definition for the first construction phase is to be developed, taking into account all relevant parameters. For structural units with specific functional, technical and/or structural requirements, a rough location/zoning should be carried out on the campus grounds.

The services of the contractor include, among others:

• Incorporation into the documents handed over by the Client as a basis for further processing

• The organization and holding of five full-day workshop appointments in presence at the Martinsried location to develop the desired operational organizational structure in cooperation with the AG and users.

• The organization and holding of regular jour-fixe appointments as face-to-face or online meetings incl. minutes (in English and German)

• The implementation of an inventory analysis of the current campus and the functional relationships there, including the conduct of approx. 110 interviews with the user representatives of all departments, research groups and functional units to understand the general and scientific processes and working methods.

• The identification of functional constraints and dependencies of certain usage units in the portfolio

• The analysis and processing of future campus requirements in conceptual functional diagrams based on the client's documents

• The definition of the principles of company organisation as framework objectives for the development of the company organisation

• The establishment and coordination of a rough business organization concept

• A rough location of functional units of the campus target on the site on the basis of the previous analysis in several variants

• Creation of conceptual function diagrams for the campus goal with graphical presentation for all variants

• Presentation of the main road relationships as well as definition of the content and scope of the 1st construction phase per variant

• Derivation and coordination of a concrete individual room program for a 1st BA

• Presentation of the results in phase plans per variant, summary of the results in a project report with detailed description, function diagrams and sketches

By submitting an application for participation, candidates declare that they are able to provide the services within the period of 4 months (see II.2.7) and in particular that they have the necessary professional, human, material and time resources at their disposal.

It is pointed out that the workshops necessary for the provision of services as well as the interviews with the AG and user representatives must be carried out in presence, i.e. the responsible employees of the Contractor must be on site in Martinsried during these periods. The employees conducting the interviews must be fluent in German and English due to the many international user representatives; the minutes of the Jour-Fixe appointments as well as the final project report must also be prepared and handed over bilingually in German and English.

The remuneration is based on a flat-rate fee to be specified by the bidder. The details of the services to be awarded as well as for the remuneration can be found in the draft contract provided.
