The subject matter of the contract is digitization and image processing services, digital reproduction work, the creation of files and their digital archiving on demand. The reason for digitization falls into one of three categories:
a.) In their function as museums, the Kunstbibliothek (KB) and Kuperkabinett (KK) digitize their holdings for recording in the RIA museum documentation system: the total annual budget for this internal repro work amounts to € 15,000 in the current budget planning.
b.) In their function as cultural institutions, KB and KK assume cultural mediation tasks and digitize their holdings in connection with exhibition, research and publication projects (analogue and digital): the total annual budget for repro works depends on the financial resources of the exhibition, publication and research projects.
c.) In their function as service facilities, KB and KK produce digital high-end print templates for various publication purposes of their commercial image customers on behalf of users. For this "digitizing on demand service", there are requirements for digitization and reproduction work that are to be commissioned externally: the annual cost volume of customer orders is usually greater than the volume of internal orders (see a.)

Note: All information is exclusive of VAT.
There are two maximum order values for the framework agreement.
The maximum order value for internal orders is €60,000 for the maximum contract term of 4 years (€15,000 per year).
The maximum order value for orders for third parties is €240,000 for the maximum contract term of 4 years (€60,000 per year).
The estimated order value for internal orders is approximately €60,000 for the maximum contract term of 4 years (€15,000 per year). Experience has shown that this budget is completely exhausted.
The estimated contract value for contracts for third parties is approximately € 192,000 on the maximum contract term of 4 years (approx. € 48,000 per year). This value is a non-binding estimate based on the past 5 years. The customer does not guarantee any purchase quantities and has no influence on call-off quantities, especially in the case of orders for third parties. Experience from the past does not allow any conclusions to be drawn about the future.
For third parties, there were an average of 1,000 recordings/digitizations per year.
As an example, in 2021 there were about 850 digitizations for the Art Library and about 400 for the Kupferstichkabinett.
The contractor (contractor) must provide the services in a designated room of the client at Matthäikirchplatz 8 in the times Monday to Friday, 9 a.m. to 6 p.m. with the Cruse scanner and PCs of the client located there. The working hours are freely selectable in the above-mentioned time window. The technical information on the hardware and software provided can be found in Appendix 01a. If special original originals (e.g. large formats) cannot be digitized with the scanning devices available in-house, digitization outside the house may be necessary after consultation with the client.
Digital repro recordings are to be carried out with the repro equipment of the contractor according to the specifications and standards of the client. The photographic equipment for the digital reproduction of original objects in the quality defined in the service description must be provided by the contractor.
The contractor collects the orders and processes them on a weekly basis. He is expected to work on site at least 2 days a week on average. It is also expected to be flexible enough to be able to carry out mass digitization on site on additional days as needed.
The order (individual call-off) is placed for all order types by the client using the corresponding form.
The digital works include
- the production of digital productions (photographs and scans) of high quality
- single and multi-coloured 2D objects (drawings, prints, books, paintings, negatives, colour slides, glass negatives and positives)
- 3D objects (artist books, material collages, framed paintings, architectural models)
- multi-part objects
- Objects of different formats (small formats to large posters)
- image processing (cropping, retouching, reconstruction, montages)
- the comparison of the created image files with the original under standard lighting conditions (tonal value, color, brightness)
- the processing of raw data according to the requirements of long-term archiving
- the filling of the data fields in Museum Plus - Digital Assets
- the inclusion of a file name and a copyright notice in the header of each created image file.
- the independent execution of white balance and calibration of the Crose scanner
The organisational tasks include:
- the processing and execution of external and internal photo orders and own invoicing)
- systematic filing (currently Museum Plus, long-term RIA)
As stated above, orders are also placed for third parties. The client is commissioned by third parties to create a digital copy. The Client places an order with the Contractor. The latter creates the digital copy and makes it available to the third party and the client. The Contractor independently takes care of the accounting and pending transactions (e.g. reminders) to the third party. Invoice data and contact details will be transmitted with the placing of the order through the corresponding forms. For external orders, a surcharge of up to 30% can be charged on the offer prices. In Appendix 03a_Preisblatt_und_fiktive_Kalkulation there is a separate tab for these prices (price sheet external). The surcharge can be determined individually for each item of the price sheet.
