OPEN PROCEDURE FOR THE ORGANISATION AND COORDINATION OF THE TRANSPORT OF WORKS OF ART IN THE FRAMEWORK OF THE EXHIBITION "Autumn 2022 Season" ON BEHALF OF THE ROYAL MUSEUMS OF FINE ARTS OF BELGIUM

This contract concerns the organization and coordination of the transport (outward and return) of works of art (with or without conveyor) from Belgium and abroad (according to the inventory list in the appendix) as part of the exhibitions Autumn Season 2022 "Picasso and Abstraction, Isabelle de Borchgrave x Frida Kahlo – Miradas de Mujeres and Jean-Pierre Ghysels – Jo Delahaut", which will take place at the premises of the Royal Museums of Fine Arts of Belgium (RMFAB) in Brussels from 14 October 2022 until 12 February 2023.

a) The production of standard packaging (soft and box). After the conclusion but before the order of the contract, the packaging conditions can be modified in accordance with the instructions of the lender. It is the lender/owner who decides whether the production of the packaging complies with its requirements. Any additional costs must be justified by documentary evidence. These amendments fall entirely under the application of Article 38/2 of the Implementing Royal Decree of 14/01/2013;

b) The packaging and unpacking of the works (see the inventory list) according to the wishes of the lenders (custom-made boxes or soft packaging – tyvek, plastic bubbles, cardboard, corners) on the outward and return journeys;

c) The transport by road or by plane of these works, to and from the lenders;

d) The organization of the travel of the conveyors of the works to and from the destination, including the reservation of air tickets, train tickets and hotel rooms;

(e) Customs formalities relating to the transport of such works, to and from the country;

f) The removal of empty boxes before the opening of the exhibition and their storage in a secure, dry, controlled place without risk of infestation of wood-boring insects throughout the period of the exhibition and the delivery of these boxes to the Museum on the first day of the dismantling of the exhibition;

g) Assistance with the hanging of the works by two collaborators of the carrier for 2 weeks during assembly and 2 weeks during dismantling;

h) The coordination of all these actions by a coordinator experienced in the field of transport of works of art for exhibitions and polyglot (French and Dutch, English if possible).

The market is divided into two phases:

Phase 1: the realization of the packaging, the packaging itself and the transport of the works from their place of conservation (owner) to the premises of the RMFAB and the unpacking of the works on site.

Phase 2: the packaging of the works, their transport from the premises of the RMFAB to the owner and their unpacking on site.
