The lease and maintenance contract for multifunction copiers has come to an end. It is therefore necessary to renew equipment and it is appropriate to offer equipment that is scalable and adapted to office applications.

Significant savings were realized on this occasion. Indeed, it should be noted that the type of hardware currently in place has already reduced the costs of computer consumables through the removal of individual printers but also to bring new functionality to users for different dematerialization projects.

Given the evolution of the offers offered by printing, production and digitization services, pooling the volumes of copies of the arc with all DCSI member municipalities, including the city of Compiègne, would generate significant savings and reduce the rental and maintenance costs of each structure. Indeed, the municipalities belonging to the DCSI have machines whose current maintenance is linked to costs of copies systematically higher than those of the arc and the city of Compiègne.

Number of copiers to date:

— arc: 32 copiers at City Hall + 15 copiers spread over 10 remote sites;

— City of Compiègne: 14 copiers at City Hall + 97 copiers spread over 70 remote sites (including 48 copiers dedicated schools);

— other municipalities of the arc: 33 copiers in town halls + 58 copiers spread over 48 remote sites (including 43 copiers dedicated schools).

Bidders will be required to offer a bid over several rental periods. The majority of the equipment will be ordered at the beginning of the market via a service order.

For equipment leased during the contract, the contracting authority reserves the possibility of a different rental period indicated in the service order.

At the end of the chosen rental period, the equipment will remain in place until the end of the contract, without financial consideration.

Bidders will also be asked, as part of their bid, to propose a purchase option cost for each equipment covered by this batch.

The scope of the copiers to be maintained may change at any time during the term of the contract. The contracting authority reserves the right, during the contract, to amend the list of copiers (addition/deletion) described in the specification of special technical clauses, in the light of the evolution of the fleet of new copiers, and those in order of service.
