Framework Agreement on the Delivery of Moving Planning and Coordination

The Framework Agreement provides the task of planning and coordination of removals and escapes, as well as, in specific cases, logistical and practical assistance in establishing new leases. The tasks consist overall of planning, coordinating and supervising on removals and escapes. Including, inter alia, dialogue with moving staff, logistics planning, furniture counting, as well as in special cases, space-planning assistance, activity analysis, furniture deliveries supervision and other relevant tasks.

The physical removals themselves are made by moving companies. Contracting entities handle ordering by moving company itself. The supplier must complete and provide a timely summary of what needs to be moved so that Contracting entities can send the relocation order in a timely manner.

The task of relocation planning and relocation coordination must be resolved by the Supplier both on weekdays and weekends/on holidays, as well as outside normal working hours.

The Framework Agreement provides the task of planning and coordination of removals and escapes, as well as, in specific cases, logistical and practical assistance in establishing new leases.

The planning and coordination tasks to be addressed by the Supplier consist of:

o Demand hedging in cooperation with Contracting entities

o Preparation of the overall relocation process in cooperation with Contracting entities

o Handling practical communications and information all the way out to employee level and follow-up to any shortcomings

o Project management

o Coordination with all actors, such as orders at Contracting Regiver, Moving Company, Contracting entity's IT department and relevant external suppliers

o Logistics management

o Inventory registration, drawing up inventory lists and markup

o Supply completed overview of what needs to be moved for the order of moving company

o Assistance in the mini-supply of physical removals, including assistance in the field of inspection, the preparation of moving-related descriptions in the material related to the mini-tender, coordination with a moving company and the like. The sightings can be at both existing and new locations.

o Elaborate Moving Instructions and Moving Information

o The preparation and delivery of pre-completed relocation tables

o Safety checks of movers on the task. Security checks include ID checks in conjunction with employee list from moving company.

o Supervise movements before, during and after, including ensuring that fixtures are placed after drawing and that applicable distance requirements are complied with

o Registration of damage to buildings and fixtures after removements/escapes

o Planning and supervision for the purposes of fugitions

o Coordination and implementation of sales and/or donation process pursuant to agreement with Contracting entities in relation to profits, typically in connection with elopasion. Sales must be done on market terms, while donations must be made to nonprofits. Proceeds from sales must be paid to Contracting entities.

o Evaluation and completion after each task, in cooperation with Contracting entities. Including reporting to the Administrative and Services Board, as well as the Boards, the relocation assignment has covered.

Contracting entities shall carry out the following tasks themselves:

o Order of moving company

o Construction worker

o Dismantling and setting up IT

o Order of external supplier for wiring suspension

o Decoration

o Wrapping and unpacking

o Setting chairs

o Artisanal tasks such as fixtures repairs etc.

Other tasks for which the Contracting Process as a starting point stands, but may be able to request the Supplier to perform:

o Miscellaneous unskilled service tasks related to provisioning, relocation or escape. These may include, but are not limited to: distribution of cables, collection/distribution of trash/lamps and the like, drawing up patch lists (list of network sockets in use).

o Miscellaneous advisory and consulting duties. These may include, but are not limited to: preparation of floor plans, MAX drawings, proposals for area optimization and the like, and drawings should be deliverable as DWG files; activity analyses of workspace (i.e. analyses of how much a physical workplace is exploited); allocation of furniture based on interior proposals and in dialogue with Contracting entities — including clarification of procurement needs and the like; receipt, qualification and placement of newly purchased fixtures.

Scope of the task:

The coming four years are expected removals of about 2,000 staff between existing locations. In addition, there are expected to be approximately 1,500 employee relocations for brand new leases and approximately 3,000 employee relocations in-house in already established leases. Assistance from the Supplier is expected to be needed for most of these removals.

It is noted that the Framework Agreement is nationwide. However, non-bridged islands are not covered by the Framework Agreement.
