Description:
Electronic self-monitoring system

The object of the procurement is the professional kitchen's self-monitoring system ("system") as a service. As part of the implementation project, the system will be procured at the contracting entity's locations (53 units), which are listed with information in the appendix "Locations and information" to the invitation to tender. The aim of the procurement is to find and implement a modern, electronic self-monitoring system that enables the smooth and easy documentation and reporting of self-monitoring activities. Self-monitoring is statutory, and with the actions of self-monitoring, Lion ensures and verifies a safe end result, taking into account all stages of the food production process.

The delivery of the system is carried out as a commissioning project in accordance with the Delivery Agreement, which is priced separately. The implementation project must be approved by 1.1.2024. The implementation project consists of creating system access rights for the client, installing site-specific sensors to be connected to the system, and user training to the extent described below. Training for the system's end users for the new system is scheduled to start in autumn 2023. Deliverables not included in the scope of the implementation project are priced according to the Supply Agreement based on the actual achievement.

The requirements for maintenance and support services under the service agreement are described in more detail below. The site-specific service fee charged for the service shall include all licenses required for the purposeful use of the system for each location-specific number of users, the rent of the necessary meters/sensors/sensors/base stations (hereinafter referred to as "Sensors only"), and system maintenance and support services, including the service and maintenance of sensors as described in the invitation to tender and its appendices for the entire period of validity of the Service Agreement. Services not included in the Service are priced in accordance with the Service Agreement on the basis of the actual outcome.

The sensors are acquired as part of the service so that the ownership of the devices remains with the supplier after the end of the fixed-term contract period and thus the ownership of the sensors is not transferred to the customer at any point during the contract period. The customer undertakes to pay rent for the ordered and delivered sensors for a maximum of 48 months. The procurement volumes indicated in the invitation to tender do not constitute any quantity purchase obligations or exclusive rights for the Supplier that deviate from this.

The contract of the current OVA service is valid until the end of 2023. The sensors related to the current self-monitoring system will not be utilised in the procurement of the new self-monitoring system.

The Supply Agreement shall enter into force when it has been signed and shall remain in force until both Parties have fulfilled all their obligations.

The Service Agreement enters into force when it has been signed and is valid for four years, after which the Service Agreement is valid until further notice. The service agreement will be applied to the location after the implementation project under the Supply Agreement has been successfully delivered per location.

The system works comprehensively for recording and recording all in-house control tasks in the kitchen and for storing the in-house control plan. The system must operate in a mobile-enabled manner, and it must be possible to monitor several locations centrally. Cleaning-related tasks must be scheduled in the system, they must be able to be added, modified and removed by the client, and it must be possible to record the work done.

In connection with the commissioning project, the sensors will be installed on site-by-site devices, the estimated number of which is as follows:

Refrigeration equipment: 420 pcs

Freezers: 155 pcs

Refrigeration cabinet/space: 45 pcs

Dishwashers: (incl. all models and functions from prewash to rinsing): 133 pcs

In addition, in connection with the commissioning project, provision must be made for the delivery of other sensors as follows:

Spike meters: 95 pcs

IR meters: 45 pcs

The number of sensors per location is checked at the beginning of the commissioning project and recorded as part of the project plan.

In addition, the tenderer must provide surface purity meters that meet the requirements compatible with the system as part of their offer. In addition, the provider must provide reagent sticks compatible with surface purity meters. The customer can order surface purity meters based on the number of site-specific orders corresponding to the number of locations corresponding to their locations. Surface purity meters and reagent sticks are not part of the scope of the commissioning project.

User trainings are carried out on site as stated in the procurement criteria section of the invitation to tender.
