The subject of the award is the conclusion of a framework agreement for the provision of an online ordering and logistics portal as well as all warehousing, event and shipping logistics services with regard to print, advertising and trade fair materials that are required throughout Germany for various events of Engagement Global or trade fairs.
The term of the framework agreement is to begin with the award of the contract (expected on October 24, 2023) and initially end at the end of December 15, 2025. Engagement Global has the unilateral right (the option) to extend the framework agreement twice for 12 months each.
At the beginning of the contract, the contractor must store all materials from Engagement Global that are currently in the warehouse of the previous contractor in Cologne in the warehouse to be made available by him (approx. 140 square meters of open space, 45 shelving racks and 29 pallet spaces with expansion option). The location of the warehouse must be within the area, the vertices of which are delimited by the following coordinates: 52°N, 6°E / 52°N, 13°E/ 50°N, 6°E/ 50°N, 13°E. The area is therefore delimited by the following latitudes and longitudes: 52°N, 50°N, 13°E, 6°E.
The framework agreement for warehouse, event and shipping logistics includes the following services:
1.) Online ordering and logistics portal
The order processing between Engagement Global and the contractor in relation to the delivery processes is to be carried out via an online ordering and logistics portal to be provided and operated by the contractor. Forwarding, courier or overnight, parcel and letter shipments are booked in the order portal by employees of Engagement Global and processed via this portal. The portal is used to maintain the inventory of all print, advertising and trade fair materials.
2.) Warehouse logistics
In a broader sense, warehouse logistics concerns the recording of all trade fair, print and advertising materials. The contractor's responsibilities include the warehousing, inspection, warehousing, picking, packaging and shipment of Engagement Global's materials.
3.) Veranstaltungslogistik
Event logistics include forwarding shipping as well as courier or overnight shipping.
These shipping methods are used to send trade fair materials as well as print and advertising materials (forwarding shipping: a maximum of 235 to a maximum of 279 trips, depending on the respective contract year; Courier or overnight shipping: maximum 60 to a maximum of 72 trips depending on the respective contract year). Freight forwarding is a direct journey, i.e. the materials are brought directly to their destination. Courier or overnight shipping is a journey with transshipment, i.e. the materials are transported to their destination via intermediate storage facilities.
The tasks of the contractor include, in particular, the timely delivery, handover and collection of the materials required for various events and trade fairs of Engagement Global throughout Germany.
4.) Versandlogistik
Shipping logistics refers to the logistics, organization and management of the timely dispatch of national parcel shipments of print and advertising material over 2 kg to 31.5 kg as well as letter shipments (maxi letter plus up to 2 kg).
With parcel and letter shipping, only print and advertising materials are sent (parcel shipping: maximum 455 to a maximum of 500 parcels depending on the respective contract year; Letter mailings: a maximum of 140 to a maximum of 170 maxi letters, depending on the respective contract year).
5.) Value Added Services
The value-added services include complaint processing, set-up and dismantling service at events, monitoring and evaluation of transport and material consumption data as well as the implementation of various special activities. In addition, from 2025 onwards, a system is to be developed together with the client as part of sustainable event management on how to measure and reduce greenhouse gas emissions from logistics services.
Special activities include: small repairs to repair the trade fair material, the disposal of defective and outdated trade fair, print and advertising material and other special orders, such as counting event materials during inventory.
Major repair measures of the event materials will be commissioned by the client's event team. The contractor only has the task of reporting these to the client.
