The BGW Academy Hamburg, the Hamburg conference venue for participants from the northern federal states, is located in the premises of the BGW headquarters (Pappelallee 33/35/37, 22089 Hamburg). The seminar guests will stay overnight and have dinner at the NH Hotel Hamburg Horn (Rennbahnstraße 90, 22111 Hamburg). For the passenger transport of the participants and lecturers between the hotel and the BGW Academy Hamburg, a company is being sought that can take over this service. The contract is initially to be placed for the period 01.01.2024 to 31.12.2024. However, in the sense of a unilateral contract extension option, the client reserves the right to extend the respective contract annually by one year up to and including 2027 inclusive. In the event of a contract extension, the prices offered are therefore valid up to and including 2027.

A total of 163 seminars are planned for the period 01.01.2024 - 31.12.2024.

There are primarily three-day seminars from Monday to Wednesday (seminar 1+2) and from Wednesday to Friday (seminar 3+4). In most cases, two seminars are held in parallel at the beginning of the week and two seminars in parallel from the middle of the week. As a rule, a total of four seminars per week take place, for which passenger transport between the hotel and the Hamburg Academy is required.

The seminar times for the seminars are mainly distributed as follows:

Seminar 1+2: Monday, 2:00 p.m., to Wednesday, 1:00 p.m., with a maximum of 24 people each

Seminar 3+4: Wednesday, 2:00 p.m., to Friday, 1:00 p.m., with a maximum of 24 people each

In addition, there are one-day and 2-day seminars, some of which include an overnight stay at the NH Hotel Hamburg Horn.

In a few weeks, there will be only limited or no seminar operations. During these weeks, only a limited or no transfer is necessary. The specific dates already contractually agreed with the hotel and the resulting journeys between Akademie Hamburg and the hotel are attached to the service description as Appendix 1. The number of journeys and persons mentioned therein is initially non-binding. The contractor must ensure that all the trips mentioned can be offered.

The journeys are mainly divided as follows:

• At the end of the 1st day of the seminar from the BGW to the hotel (5.30 pm)

• Before the start of the 2nd day of the seminar from the hotel to the BGW (8.00 a.m.)

• At the end of the 2nd seminar day from the BGW to the hotel (4.30 pm)

• Before the start of the 3rd day of the seminar from the hotel to the BGW (8.00 a.m.)

In individual cases, an additional trip from the hotel to BGW may be required in the morning. The afternoon departure can also vary by 1-2 hours on some days. In these cases, several trips with smaller vehicles are necessary.

The contractor must ensure that a waiting time of no more than 30 minutes is included in the calculation; However, waiting times of more than 20 minutes only occur in isolated cases. The waiting times are free of charge for the client.

At the same time, the contractor must ensure that a provision time of 15 minutes before the agreed departure date is included in the offer.

In order to ensure that the passenger transport is carried out as agreed, the driver must report to the reception of the BGW Academy Hamburg upon arrival. If all seminar participants and lecturers who have registered for passenger transport have left the BGW, the driver will be informed of this and can then start the journey.
