Travel agency services

The AOK community is running a travel agency tender with the goal of finding a common travel agency service provider for all participating AOKs. The travel agency service is to be made for the flight purchase essentially online with corresponding fulfillment and to a lesser extent offline. The online booking system is to be provided by the travel agency service provider. Optionally, the integration of a hotel portal with payment function in the online booking system.

The annual travel expenses in the flight sector of the AOK community amount to approximately EUR 1.7 million in approximately 7 000 transactions. More than 90% are domestic flights and only in exceptional cases European routes. The booking is made today at different travel agencies both online and offline and sometimes directly with the airlines.

The process of procuring travel funds is to be embedded in the travel authorization process and travel expense accounting process, which is currently being rolled out in the AOKs and based on the SAP ESS ("Employee Self Service") and the SAP Travel Management solution.

The start of the cooperation should be 1.7.2020. Due to existing contracts with different terms and notice periods, the full volume is expected to be reached by 1.1.2021.
