The subject of the measure is the distribution and dispatch of the BGHM wall calendar.

The wall calendar is made available to the member companies as part of the prevention work.

The entire procurement process for dispatch to the member companies of the approx. 90,000 wall calendars will be awarded in two lots with a volume of:

Lot 1: Distribution of the wall calendars, approx. 40,000 euros net per year,

Lot 2: Shipping of the wall calendars incl. collection from the distributor, approx. 156,000 euros net per year,

a total of 196,000 euros net per year, plus the applicable statutory value added tax.

For the respective lots, the conclusion of a framework agreement with a term of 2 years and the option of extension for two additional years is planned.

The contract volume for the maximum term of the framework agreement amounts to a total of approx. 784,000 euros net, whereby

Lot 1: 160,000 euros net and

Ticket 2: 624.000 Euro net

plus the applicable statutory value added tax.

The contract is scheduled to start on the date of the award of the contract for all lots.

Bidders can submit a bid on a single lot or on all lots.

If a bidder submits a bid which is only valid if another lot is awarded at the same time, this bidder will be excluded from the further award procedure.

Distribution refers to the preparation of shipments including lettershop services and packaging with postage optimization according to the address data.

The client estimates without obligation that approximately 90,000 wall calendars will be called up annually during the term of this framework agreement, of which at least 84,000 wall calendars will be called up as a minimum purchase quantity in the first year of the contract. The Contractor shall not be entitled to any further quantities and, in the event of non-call-off, no rights of any kind, in particular to compensation or damages, may be asserted by the Contractor.

The client estimates the total purchase quantity to be the maximum call-off of 340,000 wall calendars within the term of the framework agreement, including the optional extension.

Security deposits are not granted by the client.

For sustainability reasons, euro exchange pallets must be used throughout the supply chain up to the sender. These are to be made available to the client free of charge.

The calendars are delivered to the contractor on pallets by the printing company per shipment.

Note: The print data will be delivered to the current printing company (te Neues Druckereigesellschaft mbH&Co.KG, Kempen) on 15.07.2023. This is followed by printing and delivery to the distributor (in 2022 of the past from 06.10.).

The consignment must be checked for completeness and integrity. In the event of incomplete delivery or damage to the delivered calendars, the client and the printing company must be informed immediately by telephone. Further steps will be taken after this information.

The contact person of the client will be named to you when the contract is awarded.

Acceptance and processing of approx. 1% of the total amount of returns.

Bidders have the option of offering a discount in the event that they are awarded the contract for both lots. The discounted price per lot will be taken into account for the evaluation if, with regard to the valuation of each individual lot, it results in the bidder submitting the most economical bid for the lot.

In this respect, the formula presented above is applied to the discounted offer price.

If the discounted offer is the most economical in only one of the two lots, the offer price will be evaluated and awarded without the discount.

The BGHM wall calendar was compiled according to a mailing distributor and properly packed in cardboard boxes/envelopes and provided with an address label.

It is expected that 41,700 shipping addresses throughout Germany will have to be supplied with different quantities.

The calendar dispatch and thus the collection is expected to take place from 23 to 27 October of each year at the latest, for the first time on 23.10.2023. This depends on the time required by the distributor to prepare the shipments (delivery to the distributor from 01.10. to approx. 09.10.2023) accordingly. There may be multiple shipments.

The calendars are packed and stored in labeled boxes according to the shipper's instructions. For this purpose, the sender provides appropriate transport boxes. These are designed to protect the contents from dirt and moisture.

In the case of pallet deliveries, up to approx. 720 wall calendars can be stored on each pallet, depending on the packaging of the distributor, the calendar and the delivery conditions of the recipients. The weight of each pallet can be up to approx. 130 kg.

i. A total of approx. 10 pallets are expected to be shipped.

ii. Depending on the recipient of the shipments, delivery will be made on Euro exchange pallet or disposable pallet.

iii. There may be different quantities of wall calendars on each pallet, depending on the recipient of the shipments.

The complete dispatch of the BGHM wall calendars must be completed by October 30 of each year, for the first time by October 30, 2023.
