The Digitisation Board provides the delivery, operation/hosting, development, maintenance and support of a Contract Management system.
The Digitisation Board has been working with Contract Management since 2011. This work is supported by the Office of Law (JUR), which, among other things, is responsible for its system support. The Digitisation Board's contract for the current Contract Management system expires on 31 December 2021 and shall be competitive through this tender business. At the present tender, the Digitisation Board wishes to obtain offers for a Contract Management system containing system and services. The system concerns the provision of a software-as-a-service system which includes licensing, operation/hosting, maintenance, development and support. The benefits include teaching and consulting lessons for additional specialist adaption/development, etc.
The Digitisation Board considers its own maturity level of Contract Management too high and has a vision to professionalize and mature this further through system support. This involves, among other things, increased use of digitized and automated processes, high user involvement, efficient management of contracts, and a data-driven information base to ensure transparency and support the procurement and contract compliance of the board. Contract Management is included as a natural part of the board's day-to-day work, and the individual employee must experience increased involvement, less person dependency and fewer resources spent in managing board contracts and GDPR records.
To support the above, in its work to specify a future solution, the Digitisation Board has focused primarily on the structure of the construction of contract archives and GDPR records, the system support of commitment management and workflows, and the possibilities of being able to report on the overall contract portfolio and compliance for GDPR records.
