The contract concerns the provision and operation, maintenance and support of a media monitoring system to VisitDenmark. The system will result in uniform, up-to-date and resource-saving media monitoring across all VisitDenmark's markets in Denmark, Norway, Sweden, Germany, the UK, Italy, France, the Netherlands and the US. The system shall contain:
- Media monitoring of print media
- Monitoring of online media and blog posts
- Media monitoring of radio, TV and podcasts
- Daily delivery of press clippings by e-mail
- Possibility of searching archived press clippings
- The monitoring must be used to prepare reporting and analysis in relation to media coverage and media development, including the preparation of statistics and reports.
The supplier must carry out the ongoing operation and maintenance of the overall service. The system must be implemented and ready for use by 1 January 2024.
Description of the Customer's press work and overall description of the Service:
The customer processes the international press strategically and proactively with targeted messages about Denmark as an attractive destination for holidays and business tourists. The customer works internationally with the following three main business areas: 1) Coast and Nature, 2) Storby and 3) All of Denmark. Under these business areas, the Markets have their own projects/campaigns.
The most important elements in the Customer's press processing abroad are the implementation of relationship-building press events in the Customer's Markets as well as the planning and execution of press visits to Denmark and the preparation and distribution of press materials. In the Danish Market, the Danish media are processed strategically and proactively in relation to the corporate press. The Market Denmark differs from the international media surveillance by focusing on both mentions of Danish tourism as a whole and VisitDenmark as an organization (corporate press). The majority of the mentions in the System come from the corporate media monitoring. However, only Press clippings that relate to the Customer / VisitDenmark should be included in statistics and analyses. Whereas the international press coverage mainly focuses on tourism experiences in Denmark and to a lesser extent on VisitDenmark as a company.
Today, the customer has a supplier that delivers uniform, up-to-date and resource-saving media monitoring. It is a joint media monitoring system, where the monitoring includes delivery of results to the Customer's Head Office in Denmark as well as Market offices in Norway, Sweden, Germany, Great Britain, Italy (which also covers France), the Netherlands and the USA. Monitoring of the Media is carried out on the basis of keywords prepared by the Users. Based on defined keywords, the system must provide daily media monitoring in the form of an email with Press Clippings, which must then be archived in relation to business areas, projects / campaigns and activities.
The search must be based on an unlimited number of keywords and must be able to deliver an unlimited number of Press Clippings, but the search is expected to result in an expected volume of 30,000 Press Clippings per year. Out of the total number of Press Clippings, 30-50% are expected to be included in further reporting and analysis to the Customer. It must be possible to report on various parameters such as media type, circulation, visibility score / brand value and provide an overview of media development over time per month. Market and benchmark the markets between. In addition, the Customer needs half- and full-year analyses of media coverage in the Customer's priority markets.
The requirements in Appendix 2 Requirements Specification support the overall procurement needs:
• Ensuring a cross-border platform to be used across all Customer's Markets
• Ensuring consistent quality and quantitative reporting
• Ensuring that a user-friendly and flexible system is offered, which allows the User to draw statistics and make analyses
• Ensuring the possibility of reporting on classic print media, radio, TV and podcasts as well as online, including blog posts.
As stated in the Requirements Specification, the System must contain:
• Media monitoring of print media
• Media monitoring of online media and blog posts
• Media monitoring of radio, TV and podcasts
• Delivery of Press Clippings by e-mail
• Archiving Press Cuttings
• Processing and linking Press clippings to projects
• Reporting of media coverage
• Analysis of media coverage in the form of reports
• Measurement of social media activities (option)
In the System, the Customer's press officers must also be able to process and link Press Clippings, where the Press Clippings are tagged with the relevant business area, project/campaign, Themes and the underlying activity. The Supplier must carry out the ongoing operation and maintenance of the total Service covered by the Contract.
