Within the framework of communication about the Berlin city brand as well as related projects, event marketing is intended to inspire people about Berlin and its manifold facets, to create platforms for information exchange and networking opportunities for companies at decision-making level.
- Conception, planning and implementation of events of all kinds (live, digital, hybrid) regional, national and international, incl. technical project management
- Technical planning and implementation of event formats regionally, nationally and internationally (incl. project management), associated creation of production and delivery plans including recording of third-party logistics processes (e.g. delivery dates)
- All preliminary planning, necessary meetings, arrangements with the client and external partners,
- Arrangements, briefing and coordination of all trades commissioned for the event
- Approval procedures (e.g. building supervision, road traffic authority, environmental agency, civil engineering office, police, fire brigade)
- Purchase / rental of event materials such as furniture, crockery, event technology, tents, food trucks, room rental and all necessary licenses

- Custom-made products as part of the technical set-up or (interactive) activities for the guests, e.g. trade fair buildings, stage back walls, logos in 3D effect, branding of special buildings (grandstands, stairs, etc.), stage construction
- Research and commissioning of catering in consultation with the client and taking into account economic efficiency
- Research and booking of personnel, e.g. Hostesses, booth builders, event photographers, admission assistants, security, ushers, and other service providers
- Research and booking of artists in consultation with the client and taking into account economic viability, e.g. musicians, visual artists, performance artists, graphic recording artists, etc.
- Taking out appropriate insurance
- Rental, production or commissioning of exhibits (exhibits for events; Costs for e.g. Rent and travel expenses)
- Invitation and admission management
- Necessary logistical measures for the realization of the events
- On-site inspections, floor plan / stand planning, signage
- Determination of the needs of electricity, water and other technical equipment and coordination / procurement
- Programming/adaptation of appropriate digital tools for data retrieval and logistical preparation of the event (e.g. online service portal Berliner Hoffest)
- License costs for any website services that are used in the context of an event.
- If necessary, creation of concepts, e.g. consideration of sustainability aspects, precautions in the event of a pandemic, etc.
- The above-mentioned services are not exhaustively named, as they are defined on the basis of the current framework conditions. Unforeseeable developments (technical developments, external circumstances such as pandemics, etc.) may require adjustments to services. These adjustments can only be made and accessed to the extent that they are closely related to the parts of the service already described.
- Prior to any commissioning of the aforementioned services, the Service Provider must submit an offer to the Client and obtain consent to the commissioning/retrieval of the services.
