Description:
Professional services in premises design

The aim of this acquisition is to have cost-effective, professional excellence and appropriate professional service to assist the procurement unit for a facility project with a design degree. The project could last until the end of 2024. Fintraffic does not commit exactly to the project's closing date; the schedule is indicative. The quality success of the project requires special expertise in designing and implementing demanding environments.

Scope of acquisition

The acquisition covers professional services for all companies belonging to the Fintraffic Group. The contracting entity's estimate of the necessary service needs for the contract period is between EUR 150.000 and EUR 300.000 for each component. The contracting entity stresses that the figure given is only an estimate of any necessary service and the amount may also form lower.

Overview of tasks by subdivision

Subdivision 1: Office Planning Advisory Services

With regard to facility planning advisory services, several years of competence and named references are expected from the vendor. The advising of premises planning may apply, for example, to the idea and customization of premises.

Subdivision 2: Business Space Planning Service

The supplier is expected to have extensive expertise in the production of premises design services. As an example, the supplier has carried out piloting, testing of the implementation of the work environment, and used various design tools.

Subdivision 3: Project Manager Tasks of the Premises Project

The project manager responsible for project manager tasks is required to have previously implemented similar project manager references. The project manager will oversee the overall delivery of the project in a multisupplier environment within the framework of the subscriber's edge conditions.

Advisory services of the premises project

The principal tasks of the advisor in the project:

• participation in the management of the premises project in the role of an advisor

• Directing and monitoring the builder to ensure Fintraffic's requirements are fulfilled

• Monitoring of possible on-demand modifications

• Directing Fintraffic so that Fintraffic knows how to take a position, and in a timely manner plan different issues related to construction and facility deployment (incl. moving)

Premises planning services

The main tasks of the designer and spatial designers:

• Management of work environment service experience

• work environment design and ideation

• Conceptualization, guidance and work environment surveys and surveys

• efficiency estimates and mechanisms of effectiveness of the working environment

• piloting, testing and tools for the implementation of the work environment

• Working environment 3D modeling, service and visual concepts, material, lighting, color and furniture specifications

• premises prototypes, pilot and model modes

• Specification of premises requirements and control of the design and implementation of premises, including common game rules, “mental” deployment of premises, management of modes and run-in in accordance with Fintraffic's values

• working patterns and arrangements, different spatial, visual and service concepts, measurement of space and change

• interaction culture analysis, interaction questionnaire, effectiveness mechanisms and spatial efficiency estimates, measurement of interaction behavior

• Planning of transformational management measures and change communication in conjunction with the project team

• defining interior and working environment requirements related to the premises and the control of the design and execution of premises, including acoustic solutions, signage and brand elements, prototypes, model modes and pilot modes, furniture, lighting, color and material specifications and interior design together with the project team

• acting as project manager for the premises project both during construction and during the move

• project planning and day-to-day management, budgeting, cost tracking, etc.

• communication with the builder and other parties

• management of vendor contracts and vendor job control
