Offer with negotiation of merchandise, profile clothing and Christmas and representation gifts for the University College of North Jutland (UCN)

The contracting entity offers a framework agreement regarding ongoing purchases of merchandise, profile clothing and Christmas and representation gifts.

Merchandise means:

- Don't shop,

- Ball pen,

- A5 Notebook,

- A5 Notepad,

- Key string,

- Drink bottle,

- Bottled water with logo,

- Bolsjer.

The above list is not exhaustive. For an overview of products within the merchandise category, please refer to Framework Appendix B - Offer List and Framework Appendix A - Requirement Specification.

Profile clothing means:

- Outerwear with logo,

- Running clothing with logo,

- T-shirts with logo,

- Hoodies with logo.

The range does not include work clothing for UCN building operations, as well as profile clothing for the UCN service center.

Christmas gifts include two (2) gift types:

- Election gift including experience gifts, physical gifts and supplementary gifts: The contracting authority's employees are given the freedom to choose a Christmas gift via a customer-specific choice solution,

- One gift including experiential gifts, physical gifts and supplementary gifts: The contractor centrally selects one specific Christmas gift for all its employees. Here, it is expected that a larger quantity purchase estimated at 1,000 pieces. of specific gifts that the contracting entity designates on the basis of the supplier's offered gifts.

Depending on the solution chosen (choice gift or one gift), a selection consisting of either 2-4 experience gifts as well as 12-14 physical gifts or one identical gift to all employees is defined among the tenderer's offered products, as shown in the framework agreement Appendix C - response to the offer.

UCN's amount limit per Christmas gift is 300 DKK excl. VAT per gift recipient. The amount includes possible setup and access to web-based ordering portal, distribution, packaging and access to customer service. Gifts should not be wrapped in gift wrap. Representation gifts include:

- Crafts,

- Interior articles,

- Personalized gifts,

- Electronics,

- Kitchenware, etc.

Wine and chocolate are not included as a representation gift in the offering. The contracting entity reserves the right to purchase these products without the application of this Framework Agreement, cf. 1 and 2.

The client's guidelines prescribe an upper limit of DKK 400 excl. VAT for representation gifts. As an option, it should be possible that gifts can be delivered wrapped in agreement with the client for a possible supplement.

The tenderer must also stock and distribute the contracting party's existing product range through the offered ordering portal.

The estimated annual consumption of merchandise, profile clothing and Christmas gifts is expected to amount to DKK 1 000 000 during the framework agreement period, which is estimated to be distributed with DKK 700 000 on merchandise and profile clothing, as well as DKK 300 000 on Christmas gifts. Estimated consumption of representation gifts varies, so an estimated amount cannot be stated in advance. The volume is for guidance only and is based on historical figures, which is why they cannot be taken as an expression of a guaranteed future sales volume. In relation to Christmas gifts, the acquisitions during the term of the Framework Agreement are subject to the continued approval of the scheme by the Rector's Office.

The client intends to enter into a framework agreement with one (1) Supplier from 1.7.2020 to 30.6.2024, however, so that the client has the opportunity to terminate the framework agreement with six (6) months notice until the end of a month ending no earlier than two ( 2) years after the conclusion of the framework agreement. The agreement can thus be terminated at the earliest on 30.6.2022.
