Description:
Conception and implementation of BESTIVAL 2023

Due to the pandemic, tourism and the event industry in Berlin had to be scaled back considerably. In order to set signs of a new start both in the tourism industry and in the event industry, we are planning an event for partners and customers; the BESTIVAL. The implementation of the action depends on the geopolitical situation as well as room for manoeuvre with regard to any hygiene requirements. Should the framework conditions change significantly during the course of the project, the client decides on a concept adaptation or cancellation of the event.

We want to create a meeting of the entire MICE & tourism industry (about 800 - 850 total participants, depending on the pandemic development). The participants are made up of the various providers of the MICE and tourism market; approx. 300 MICE customers (event planners in corporates, agencies and associations), approx. 300 travel trade customers (tour operators and travel agencies, incoming agencies), approx. 50 media representatives (trade and daily press, journalists, bloggers, influencers) as well as approx. 200 Berlin providers & stakeholders (hotels, event locations, MICE service providers, tourism service providers, science).

Through the broad mix of the audience, the reduction to the essentials of the lectures and an eventful supporting program consisting of various contributions from the Berlin music and art scene, we want to give the event an experiential festival character. At the same time, it should represent a platform for our partners on which they can initiate business opportunities through initiated and random contacts with potential customers.

The communication as well as word and image language are strikingly distinguished from "usual business events" and continue the communication of the event of 2021 & 2022 and thus establish the BESTIVAL brand in the MICE and tourism industry. The following messages are to be conveyed:

- Still always: Berlin is (again) ready for (business) travelers and events

- New: Berlin sets an exclamation mark with a unique format

- Cohesion of the industry "We for Berlin!" and "Berlin connects"

- Berlin is the location for modern event concepts and presents itself with creative and innovative formats

- Berlin is constantly inventing itself and offering unique travel experiences

| Objectives of the event

The event aims to strengthen Berlin as a leading and innovative destination for the tourism and MICE industry. In addition, the event is to be perceived as a lighthouse event within the city, in Germany and internationally, bringing together all players in tourism and the event industry and making them an indispensable part of Berlin's event calendar.

In order to increase the significance of the event for Berlin, the program and design are aimed at a broad spectrum of participants:

- MICE:

o Event planners in corporates, agencies and associations

o Providers of the MICE industry in Berlin

- Travel Trade:

o Tour operators and travel agencies, incoming agencies

- Media:

o Trade and daily press

o Journalists, bloggers, influencers

- Berlin stakeholders:

o Hotels

In addition, the event is intended to be a platform for Berlin service providers (see stakeholders) of the tourism and MICE industries to meet customers and generate leads and thus also contribute an economic part to the upswing after the pandemic. Furthermore, other destinations and service providers outside Berlin are expected to supplement the event for a participation fee.

Concept of the event

In the case of events, different event formats are part of the design of the overall event (main event, individual post events, target group-specific guided tours). The event period is over three consecutive days, expected from 5 to 7 July 2023. The venue for the main event day on July 6th is a combination of several venues that together create the festival experience. The date is already optioned by the client in selected locations and does not have to be queried by the contractors.

The course of the event is as follows (subject to change):

Evening before (05 July 2023):

- Welcome reception on the day before the main event day for up to 300 participating guests who have already arrived

Main event day morning (06 July 2023):

- Opening of the event with all participants

- Followed by stage program on theme-specific stages

Main event day afternoon (06 July 2023):

- Continuing programme

- Complementary parallel target group-specific offers, for example:

o Lectures, keynotes, discussions in different and creative event formats

o Workshops (max. a 30 Persons)

o Speed dating and/or other networking opportunities and interactive activities

- Accompanying marketplace (exhibition venue for ideas, best practices and partners)

- Festival activities (experiences, art, music)

Main event day evening (06 July 2023):

- Evening event in a relaxed atmosphere with all participants, incl. music and supporting program

- Networking opportunities

2nd day of the event all day (07 July 2023):

On the second day of the event, each participant of the event has the opportunity to put together his individual program. Via an online platform, all actors from Berlin have the opportunity to present a smaller event in the sense of self-presentation. These should usually last no longer than an hour and combine the self-performance with an incentive for the participants and thus contribute to the festival character. Participants can choose from the offers according to their interests. The guests move individually through the city. We offer the Berlin WelcomeCard for the use of public transport. In addition, target group-specific tours, such as hotel and location tours or tours on the topics of food, sustainability and culture, are also offered. Registration for these tours should also be possible via the online platform.

- In the morning and afternoon 5 different and organized discovery tours with 20 - 30 participants each

- In the morning and afternoon 4 classic location, hotel and site inspection tours with 20 - 30 participants each

- Up to 50 different partner events (organized by the respective partners)

- 1 central contact / meeting point for all participants

2nd event day evening (07 July 2023):

In the evening, the concept will be pursued and continued as the "Long Night of Hotels". Participants have access to the bars of the participating hotels with the wristband assigned at the entrance. All participating hotels and their offers are to be integrated on the online platform.

All participants have the opportunity to extend their stay and to arrange individual appointments with interesting service providers. This offer is agreed individually between the hotels/service providers and participants.
