Sitra must take into account the General Data Protection Regulation (GDPR), accessibility and issues related to responsibility and energy efficiency in its procurement. We make responsible and sustainable choices in all our procurements.
The procurement targets translation services in languages: Finnish-Swedish and Swedish-Finnish, Finnish-English and English-Finnish.
In addition to these, we may acquire translation services occasionally, to a limited extent in other languages, e.g. in other languages. French, Russian, Sami.
The translation services to be procured always include a language check, which must take into account:
- customer order, instructions, language maintenance and style guides, as well as the terminology used by Sitra (term bank)
- correspondence of the translated text to the source text
- checking the grammar, spelling, vocabulary and terms of translation
- checking the smoothness of the translated text
- consideration and durability of the structure of the text to be translated, such as titles, paragraphs of text, the placement of images and captions, as well as references in the translated text;
- checking and using the availability of the language versions of the links. in a language translation
- labelling in accordance with accessibility regulations for public operators (e.g. powerpoint materials, alt texts for images and subtitles for videos).
In addition to language-serviced translations, raw translations can also be ordered as machine translation, in which case language maintenance and editing are done by themselves, e.g. in the form of a language translation. English-Finnish translation, which is needed quickly.
In addition, separate language maintenance services, which can be ordered if needed, are the subject of the procurement. Language maintenance services refer to proofreading, language checking and editing services for texts written directly into the target language.
Language maintenance services include at least:
- checking and correcting text grammar, spelling, vocabulary, terms and sentence structures;
- Ensure and edit text smoothly without changing the content of the text.
- Taking into account Sitra's language maintenance and style guides.
Text types can include articles, news, newsletters, speeches, webpages, reports, publications, presentations, agreements, or statements.
In addition, we can order subtitles, transcription and different language versions of videos.
The terminology of the texts follows sitra's vocabulary of themes and topics. Sitra's vocabulary of future work also includes terms that are not fully established in general language. For example, Sitra's future vocabulary:

Our translations require excellent language management and language knowledge, mastery of terminology related to future work, and the ability to develop and systematically collect terminology and use as a terminology bank.
The material to be translated can be submitted for translation by e-mail, e.g. by e-mail. word, excel, and powerpoint formats, YouTube recordings/videos or webpage links.
Sitra's translations are ordered by several people, mainly from Sitra's communications team, but occasionally orders can also come from other teams.
Four service providers shall be selected for the framework agreement, provided that at least 4 approved tenders are received.
