General explanation:
In the city and region of Hasselt, residents and visitors, regardless of their origin, orientation, age, skill or disability, find a sustainable and high-quality leisure offer.
The leisure offer mainly responds to the rapidly changing lifestyles of our citizens, visitors & associations.
In addition, as local governance, we also want to take steps to not only expand this offering and adapting to changing needs, but also optimising the way we bring this offer to our residents/visitors. By ensuring a smooth, efficient and digitized rapprochement to our leisure offerings, we as an organization will take a major step forward in our customer focus.
The new software must be Q3/2022 operational, with analysis and phased boot from Q1/2022.

Reservation processes and ticket salesThe scope of this plot is to support reservation processes (guides, swimming pools, museum visits, sports infrastructure, sports camps, playgrounds, etc.) and ticket sales through a future-proof digital solution that can be deployed within multiple services of the Leisure and Tourism, including necessary links with other Hasselt Group platforms (accounting, purchase and inventory management, relationship management, etc.)
The solution will provide for a generic process of search for info, (login,) reservation/enrollment, payment, confirm, (cancel,) to take place effectively of the leisure activity with personalizations specific to the service, where necessary.
The city is clearly committed to digitisation. This should, on the one hand, benefit the provision of services to the citizen, in this case everything related to leisure. On the other hand, the process in the back office should be so simple and easy, with centralization of data in one system and maximum automation.
As part of this, a public procurement is placed on the market for
• Purchasing and implementing new software for:
O Reservation Processes (e.g.
Guides
Swimming Pools
Visiting Museum
Sports Infrastructure
Sports camps
Playgrounds
..
O Ticket Sales
To replace existing solutions;
• Links from the new software to existing accounting, purchase and inventory management applications, relationship management, website & city app, reporting, notes,...
• Operational and Management Reporting
Events ManagementThe scope of this plot is to also support the contracting government's event management through a future-proof digital solution that is flexible and engaged in a smooth collaboration between all parties involved in the organisation of an event (Leisure, internal and external advisory services, CBS,..), including necessary links to other Hasselt Group platforms (for accounting, notifications and work orders, GIPOD/Spotbooking,...)
The event application will be able to handle event records in its completeness. Starting from the customer's request to the event.
The steps between them must be able to manage from the system:
• Get advice from other services both internally and externally
• What advice is needed? Then they will be automatically forwarded to the relevant service or third party.
• Then everything can be transferred to E-Decree for CBS (and/or GR) approval at the touch of a button
The city is clearly committed to digitisation. This should, on the one hand, benefit the provision of services to the citizen, in this case everything related to leisure. On the other hand, the process in the back office should be so simple and easy, with centralization of data in one system and maximum automation.
