Tienen Regional Hospital (RZT) wishes to conclude a framework agreement for the rental and maintenance of 'multifunctionals' including (automatic) supply of toners (lot 1) as well as the purchase of 'printers' (lot 2) including toner supply.

The contracting authority (AO/RZT) wishes to conclude a framework agreement for the rental, installation, training and all-in maintenance contract including (automatic) supply of toners of a variety of new multifunctional copiers with associated software for managing the entire printer park.

For this plot 1, the monthly billing must be based on the rent and the click price (both determined by type of device). No additional charges are accepted. Cost elements listed in a different place in the offer will be considered non-existent by the contracting authority.

The following elements are included in the 'Rent' (price per unit per month):

— loading and unloading, unpacking and immediate set-up at the site of use, RZ Tienen (RZT) is spread over three campuses, two of which are located at 3300 Tienen and one at 3200 Aarschot,

— full commissioning of the appliance,

— the (basic) training of users and technical documentation as well as instructions in Dutch,

— the depreciation of the equipment taking into account the duration of the rent (5 years) and the residual value after the end of the rent,

— the replacement of a faulty device with an identical or equivalent device within the specified time limit,

— the insurance of the devices,

— the takeback cost of the devices at the end of the lease,

- ...

The following elements are (preferably already standard) included in the “Click Price”. The click price is a unit price per page (copy/print) regardless of size (A4 = A3 = 1 click, but recto-verso = 2 clicks) and regardless of page coverage.

— standard included: supply of consumables such as toners and possibly other ink cartridges or related cartridges (excluding paper and staples and any other related ones),

— preferably also included as standard: all possible costs arising from preventive and corrective maintenance: cleaning, review, fixation of devices, repairs, replacement of the pieces used or damaged, movements, etc... ,

— included as standard: the acquisition and actual recycling of consumables, packaging and other waste consumed,

The contractor is responsible for the devices and must carry out the necessary maintenance and repairs throughout the duration of the rental contract, in accordance with the (price) agreements made (already included in the click prices and possibly additional by means of an optional). offer maintenance contract).

The AO therefore also aims to rationalise the printer park throughout the duration of this framework agreement.

The contracting authority (AO/RZT) wishes to conclude a framework agreement for the purchase and delivery of a variety of new printers with associated printer fleet management software including the (automatic) supply of toners.

Note: The current RZT printer fleet is HP. The further (temporary) supply of the necessary toners for the HP printers (extinguishing) in RZT at the start of this framework agreement is seen by the AO as an added value/plus (within the Technical Service and Support award criterion).

The (monthly) billing for this parcel 2 should be done by the contractor based on the number of toners consumed (per type of device) and therefore not on the basis of a click price. The AO does not accept any additional costs. Cost elements listed in a different place in the quotation will be considered non-existent by the AO.

Product catalog including price list:

In addition to the devices proposed in the quotation (including toners), the tenderer must offer a product catalog including the most up-to-date price list (preferably including the 'fixed percentage discount' offered by the contractor to the AO) from which contracting authority (RZT), throughout the duration of this contract, then his/her order choices can make.

This catalogue therefore contains only those products that the tender/contractor can offer with the general condition that they are always in correct connection with the subject matter of this contract.

Promotions and Opportunities:

The Contractor may at any time, for a certain period of time, offer more favourable terms than those of its original offer, whether promotions or other (temporary) opportunities.

Promotions are: offering products at a cheaper price than stated in the quotation.

Opportunities shall mean products (whether already mentioned or not yet mentioned in the tender submitted) which may be offered temporarily, until stock exhaustion, on special conditions (e.g. at extremely advantageous prices), provided that these are linked to keep the subject of the assignment and, on the other hand, demonstrate an extraordinary price/quality ratio.

In case of changes in the product range and in the case of promotions and opportunities, the contractor must notify the contracting authority (AO) in advance.

The AO therefore also aims to rationalise the printer park throughout the duration of this framework agreement.
