The successful bidder undertakes to carry out the promotion and tour in the various places of the travelling temporary exhibition "MISSING GIANTS" of the Royal Belgian Institute of Natural Sciences, as well as all the services related to this promotion and tour described in these specifications.
The exhibition will open in Brussels in October 2023 and end in August 2024. Subsequently, the exhibition will be transferred to the Museum of Toulouse (35 All. Jules Guesde, 31 000 Toulouse, France) for a period of 10 months. From September 2025, she will be available to travel to other locations.
The contract consists of one lot, consisting of two tranches. Tranche 1 concerns the firm tranche of the market and tranche 2 the conditional tranche of the market.
1.1.1. Unit 1
Unit 1 includes all the services separate from the first place, the Museum of Toulouse, namely, inter alia, the preparation and distribution of promotional material, the active search for potential tenants after Toulouse, negotiations with these potential tenants, the administrative management of rental contracts, the extension of rights and authorisations for only a small number of visual materials, the layout of the exhibition (scenography, texts, translations, MM-AV, etc.), the logistical organization - non-financial - of transport, insurance, repairs, maintenance, assembly and dismantling of the exhibition, organization and payment of third parties, possibly storage, etc.).
1.1.2. Unit 2
Unit 2 includes the assembly and dismantling of the exhibition at the Museum of Toulouse, as well as maintenance for approximately 10 months after the opening of the exhibition in Toulouse and refurbishment for the next tenant after the closing of the exhibition at the Museum.
The contracting authority shall be bound only by the firm tranche of the contract and may award the conditional tranche of the contract according to its needs. The contracting authority reserves the right to award the conditional tranche up to 6 months after the award of the contract. The successful tenderer may not claim any compensation if the conditional instalment of the contract is not awarded.
This contract does not provide for division into lots since all aspects of the tour align like successive links in a chain.
