This consultation relates to the renewal of the multifunction copier fleet, in the form of an acquisition or lease, maintenance, supply of consumables throughout France and for all members of the group. It will also be requested the provision of an accounting and dematerialization software.
The holder of the contract shall ensure for all members of the group in the national territory:
- Replacement, renewal of the current fleet and future needs, the delivery and installation of multifunctional printing machines, their relocation, the ability to deliver training to users, administrators, IT department, maintenance and supply of consumables, transmission of user guides multifunction, posters, communication, hotline...
- The provision of an Accounting software: this fleet management tool will allow, in particular, to extract statistics and reports (Number of color/Black and white pages per machine, per user, frequency of use during the day, environmental component...), to individualize the printing parameters (Color Access Rights, printing policy,...), avoid orphan prints and ensure the confidentiality of prints with the release of printing by 6-digit access code and/ or by badge system.
- The provision of a dematerialization software within the framework of the Project “100% Demat” initiated by the Directorate of Information Systems.
The Contracting Authority wishes to set up a dematerialisation system. The provider will have to propose
a solution to digitize documents in PDF format, recognize them via masks and output the file in PDF format as well as an XML file containing metadata useful to the Recipient's GOL system (Nuxéo). If a document is not recognized by the proposed system, the solution will be able to offer the user via the copier screen the means to provide the necessary elements to recreate a valid XML file. Documents may be structured or unstructured. They are of several kinds: formatted/ formatted with manuscript/handwritten documents
A first pilot phase has begun concerning the documents of the Rental Management with the identification of three types of files: technical (related to housing: Trapping, technical data...), housing application (tax sheets, payslips, the application file and related papers) and client file (internal rules, linked contractually to the customer...)
