divided into 3 parts.
3.2. Detailed description and manner of execution of the contract shall be included in the Description of the subject of the contract, which is Annex 1 to the SWZ and the proposed provisions of the contract forming the Annex
No 8 to the SWZ and the proposed provisions of the agreement entrusting the processing of personal data, which are Annex 9 to the SWZ.
Part 1 – organization of a study visit for 10 people from Krakow (Poland) to Barcelona (Spain) from February 26 to March 3, 2023I. Detailed description of the subject of the contract for lot 1: organization of a study visit for 10 people from Krakow (Poland) to Barcelona (Spain) from February 26 to March 3, 2023
The subject of the contract is the organization of a study visit for 10 people from Krakow (Poland) to Barcelona (Spain) from February 26 to March 3, 2023, implemented as part of the "Creative Malopolska II" project financed under the Regional Operational Program of the Malopolska Region for 2014-2020, co-financed from the European Development of the Regional Fund.
The order includes the organization and preparation of a study visit in the period from February 26 to March 3, 2023 local time for 10 people, the purpose of which is to:
• Participation in industry event: GSMA Mobile World Congress
• The order does not include the purchase of tickets to the event.
The Contractor shall provide the Contractor under the contract:
1. Economy class return flight tickets on the route Kraków–Barcelona, Barcelona –Kraków for 10 participants of the study visit with a maximum of one change, whereby:
a. The waiting time for the transfer must not be more than 4h,
b. arrival must be by 18:00 on 26 February 2023 local time in Barcelona
c. The transfer may not take place in any country in whose territory it is required of Poles to hold visas.
d. ticket is supposed to include: 1 piece of hand luggage + 1 piece of checked baggage (main, check-in) for each 1 departure participant.
e. Departure to Barcelona will take place on February 26, and arrival in Krakow on March 3, 2023.
The list of participants of the trip will be given 2 weeks before the start of the study trip.
2. 5 nights in a 4-star or more hotel in Barcelona:
a. at a distance of max. 3 km from the venue - Fira Gran Via, Barcelona (distance determined by means of a walking route in Google Maps),
b. in 1-person rooms with bathrooms with breakfast for 10 participants of the study visit during the planned stay.
The Contractor shall submit, in the offer form, to the Ordering Party at least 2 hotel proposals corresponding to the above requirements, the final selection of hotels belongs to the Ordering Party. Failure to offer a hotel proposal or a proposal not conforming to the above requirements will provide a basis for the recognition that the content of the offer does not correspond to SWZ's content.
3. The Contractor shall provide the Ordering Party with board for 10 persons on each day of stay on departure — rates in accordance with the Regulation of the Minister of Labour and Social Policy of 29 January 2013 on receivables to a worker employed in a state or local government unit budgetary sphere due to business travel.
4. Private local transfers (by bus or car suitable for the size of the group) from Barcelona airport to the hotel and from the hotel to the airport on the day of departure for 10 participants of the visit, whereby:
• the driver must personally pick up the participants from the airport and lead them to the car/bus,
• the driver must take into account the possibility of delays in flights,
The Contractor shall also cover all costs related to tolls, parking, etc. as part of the transport service.
5. Providing KL+NNW insurance for 10 participants of the study visit, covering possible tourist fees, parking and road fees.
6. The Contractor should provide the Contracting Authority with information on the guidelines regarding the sanitary regime in force in the country of destination during the SARS-CoV-2 coronavirus pandemic at least 2 weeks before the event at least by e-mail.
7. Within 7 days after the end of the study visit, the Contractor is obliged to submit a report on the abovementioned visit. The report will include at least elements such as:
a. General information about the study visit;
b. Detailed program of the study visit.
Part 2 – organization of a study visit for 10 people from Krakow (Poland) to San Francisco (USA) between 19 and 25 March 2023II. Detailed description of the subject of the contract for lot 2: organization of a study visit for 10 people from Krakow (Poland) to San Francisco (USA) between 19 and 25 March 2023
The subject of the contract is the organization of a study visit for 10 people from Krakow (Poland) to San Francisco (USA) between 19 and 25 March 2023, implemented as part of the "Creative Malopolska II" project financed under the Regional Operational Program of the Malopolska Region for 2014-2020, co-financed from the European Development of the Regional Fund.
The order covers the organization and preparation of a study visit in the period from 19 to 25 March 2023 local time for 10 people, the purpose of which is to:
• Participation in an industry event: Game Developers Conference
• The order does not include the purchase of tickets to the event.
The Contractor shall provide the Contractor under the contract:
1. Economy class return flight tickets on the route Kraków–San Francisco, San Francisco–Kraków for 10 participants of the study visit with a maximum of one change, whereby:
a. The waiting time for the transfer must not be more than 4h,
b. arrival must be by 20:00 on March 19, 2023 local time in San Francisco
c. The transfer may not take place in any country in whose territory it is required of Poles to hold visas.
d. ticket is supposed to include: 1 piece of hand luggage + 1 piece of checked baggage (main, check-in) for each 1 departure participant.
e. Departure to San Francisco will take place on March 19, with departure from San Francisco on March 25, and arrival in Krakow on March 26, 2023.
The list of participants will be given 3 weeks before the start of the study trip.
2. 6 nights in a 4 star or older hotel in San Francisco:
a. At a distance of max. 1.5 km from the venue – Moscone Center, 747 Howard St, San Francisco, CA 94103, United States (distance determined by walking route in Google Maps),
b. in 1-person rooms with bathrooms with breakfast for 10 participants of the study visit during the planned stay.
The Contractor shall submit, in the offer form, to the Ordering Party at least 2 hotel proposals corresponding to the above requirements, the final selection of hotels belongs to the Ordering Party. Failure to offer a hotel proposal or a proposal not conforming to the above requirements will provide a basis for the recognition that the content of the offer does not correspond to SWZ's content.
3. The Contractor shall provide the Ordering Party with board for 10 persons on each day of stay on departure — rates in accordance with the Regulation of the Minister of Labour and Social Policy of 29 January 2013 on receivables to a worker employed in a state or local government unit budgetary sphere due to business travel.
4. Private local transfers (by bus or car appropriate to the size of the group) from San Francisco airport to the hotel and from the hotel to the airport on the day of departure for 10 participants of the visit, whereby:
a. the driver must personally pick up the participants from the airport and carry to the car/bus,
b. the driver must take into account the possibility of delay in flights.
The Contractor shall also cover all costs related to tolls, parking, etc. as part of the transport service.
5. Providing KL+NNW insurance for 10 participants of the study visit, payment of possible climate fees, parking and road fees.
6. Determining and paying for a group application for a permit to enter the USA necessary for all participants in the ESTA (Electronic System to Travel Authorization) system.
7. The Contractor should provide the Contracting Authority with information on the guidelines regarding the sanitary regime in force in the country of destination during the SARS-CoV-2 coronavirus pandemic at least 2 weeks before the event at least in the form of an e-mail before departure.
8. Within 7 days from the end of the study visit, the Contractor is obliged to submit a report.
Part 3 – organization of an incoming mission for 8 journalists to the Digital Dragons 2023 industry event in Krakow on May 14-16, 2023.III. The subject of the contract is the organization of an incoming mission for 8 journalists to the Digital Dragons 2023 industry event in Krakow on May 14-16, 2023.
The contract includes the organization and preparation of a study visit, the purpose of which is to:
• Participation of foreign journalists in Digital Dragons – the largest industry event dedicated to the video game industry in Poland and throughout Central and Eastern Europe.
• The order does not include the purchase of accreditation for the event.
The Contractor shall provide the Contractor under the contract:
1. A flight for 8 journalists to Krakow and back in economy class. Destinations and passenger details will be announced at least 2 weeks before the start of the mission. Anticipated destinations may include, m.in, London, San Francisco, Los Angeles, New York, Shanghai. Flights from outside Europe will take place with no more than 1 change, but the waiting time for a transfer may not exceed 3 hours.
The ticket is to include: 1 piece of hand luggage + 1 piece of checked baggage (main, check-in) for each 1 departure participant.
2. Local transfers: transport from the airport to the hotel and back for the 8 participants of the arrival mission, taking into account that the journalists will arrive at different times.
3. 4 nights at least 4-star hotel in Krakow:
a. at a distance not exceeding 800 m from the event: ICE Congress Centre, Marii Konopnicka 17 Street, Kraków (distance determined by walking route in Google Maps) for 8 participants of the arrival mission during the scheduled stay.
b. in 1-bed rooms with bathrooms and breakfast.
c. View from the window in the hotel room cannot include the interior of the hotel (e.g. lobby)
The Contractor shall present to the Contracting Authority at least 2 hotel proposals corresponding to the above requirements, the final selection of hotels belongs to the Ordering Party. Failure to present hotel proposals in the offer or presentation of a proposal that does not meet the above requirements will constitute the basis for considering that the content of the offer does not correspond to the content of the SWZ.
4. The Contractor shall provide the Ordering Party with food for 8 persons on each day of stay on departure — rates in accordance with the Regulation of the Minister of Labour and Social Policy of 29 January 2013 on receivables to a worker employed in a state or local government unit budgetary sphere due to business travel.
5. Provide KL+NNW insurance for 8 participants of a study visit, payment of possible climate, parking and road charges.
6. Within a week of the end of the study visit, the Contractor (in consultation with the Contracting Authority) is obliged to present a report on the above-mentioned visit. The report will include at least such elements as:
a. General information about the study visit;
b. Detailed program of the study visit.
7. Order performance schedule:
The study visit should be organized between 15 and 17 May 2023, with arrival to Krakow taking place on 14 May local time, and departure from Krakow on 18 May 2023 local time.
