Stor-Elvdal Municipality intends to enter into a contract for the hire of a system for digitalising the property archive, as well as services connected to the digitalisation of the physical archive. 

The aim of the procurement is to simplify access to archived material both for internal and external users, so that the time spent carrying out searches for relevant information in the archive is reduced. This will contribute to the municipality's case processing being simpler, and will give external actors quick access to the requested material. The goal is that it will save resources and give an increased level of service.

The contracting authority currently has a paper-based property and building application archive, with cases from the first half of the 1900s up until today. The archive is currently somewhat fragmented, and is located in different places in Kommunehuset.

Each property/building application mainly has a separate folder in the archive, and these folders are sorted by cadastral and title number. The folders are stored in archive cupboards/archive boxes. The archived material consists of documents of varying sizes and quality. Documents in other formats than A4 and A3 will therefore have to be digitalised. There can also be documents of quite low quality that must be digitalised, in addition to photographs and other types of documents of high quality. The documents can be stapled or put together in another way.
