The order includes the provision of all services required for the operation of the printer and multifunction devices in the office area for Stadtwerke Düsseldorf, including their participations. These include, but are not limited to:
- IMACD
- Break&Fix
- Supplies Management
- Active fleet management
- Printqueue Management
Further objectives of the call for tenders are
- Renewal of the printer fleet
- Consolidation of the printer fleet
- Introduction of a pull printing solution
- Introduction of a solution for printing from mobile devices
- Call and supplier management for plotters
As part of this tender, the Managed Print Services for Office Printers will be awarded to a service provider. The managed print service provided by the new service provider should be of high quality and professional.
The aim of the tender is to replace the current leases for the multifunction devices, to renew the entire printer fleet and to introduce modern printing technologies. The term of the new contract is 60 months with the option to extend twice by 12 months each.
The following network-capable systems are required, estimated:
- 97 MFP A3 color, with an expected monthly print volume of approx. 4,500 pages
- 10 MFP A4 color, with an expected monthly print volume of approx. 1,500 pages
- 40 A4 color printers, with an expected monthly print volume of approximately 1,500 pages
- 134 printers A4 mono, with an expected monthly print volume of approx. 1,500 pages
- 160 printers A4 mono, with an expected monthly print volume of about 250 pages
The Client reserves the right to deviations from quantities.
The distribution from color to mono pages will be about 50% to 50%. It is expected that there will be a monthly rental price and that all service costs will be integrated into the click price. Due to the changed working environments, this project will be put out to tender without a monthly guarantee volume.
Both a pull printing solution and a solution for printing from smartphones will be introduced, for which there will be a separate price per printer. Since there is currently no technology for this at Stadtwerke Düsseldorf, the provider has the opportunity to present its own concept, taking into account the framework conditions of the delivery and service description.
Due to the introduction of the Pull Print solution, fault processing for hardware malfunctions is expected within 48 hours. The processing times of malfunctions in the context of the Pull Print solution or print queue management are different.
Printqueue management, which is currently managed internally, will also be offered. The print server operation remains with SWD and is not an object of the project.
It is expected that the printer fleet will be optimized through consistent fleet management and that the ecological footprint of Stadtwerke Düsseldorf's printer fleet will be significantly reduced through suitable GreenPrint measures.
Call management and supplier coordination are to be taken over for all 13 existing plotters with external service contracts.
