Room reservation solution:
i) Procurement of standard software for managing the event rooms of the GV = license purchase;
ii) the corresponding basic installation in the client's SharePoint system and;
iii) Supplementary services (conceptual design, implementation, introduction of the software, development and programming of technically specified workflow processes, training of users or administrators & further development) and the operation of the room reservation solution for the general meeting or subsequently as required for the institutes and facilities of the MPG as well as their other legally independent organizational units.

The subject of the award procedure is the procurement of standard software, the basic installation in the client system's sharepoint system for the standard software for a new room reservation solution for managing the event rooms of the general administration (currently approx. 600 employees) of the Max Planck Society as well as additional services Concept, implementation, introduction of the software, development and programming of technically specified workflow processes, training of users and administrators as well as the further development and operation of the room reservation solution for the general administration or, depending on requirements, for the institutes and facilities of the MPG and others legally independent organizational units; with a contractor.
The standard software to be selected must be based on the MPG's MS SharePoint IT platform and the software solution must be multi-client capable.
The required adaptation, integration and transfer (purchase licenses) of the standard software and the additional services are described in detail in Chapter 5.
The institutes and facilities of the Max Planck Society are to be given the opportunity to also use the standard room management software determined in the tender. The institutes can have the basic software installed at a fixed price and acquire licenses at the agreed offer price.
The competencies and qualifications described in Chapter 3.3 are required and must be offered for the provision of services.
This contract award procedure is intended to find the most economical contractor on the basis of an EVB-IT system contract "Room reservation solution (system for central, user-oriented management of rooms and processes or workflows)" Annex 1 together with the contract components defined in §1 (based on the supplement Contract terms for EVB-IT system).
The client reserves the right, in accordance with § 14 Paragraph 4 No. 9 VgV, for services that consist of repeating services of the same type as those advertised here, within 3 years after the completion of the first order by means of the negotiated procedure without a competition to award the contractor who has received the first order (here). The contractual terms of this award procedure apply to these services.
The contractor will provide the contractual services in accordance with his offer based on the price sheet.
When calculating the daily flat-rate prices, it must be taken into account that the service can be provided locally in Munich (also with regard to services at the institutes). A different regulation can be agreed upon after approval by the client.
In all phases of the provision of services, the contractor must ensure the implementation of all legal and data protection requirements specifically formulated by the client.
