Description:
Basic digitization of the collection in the Perthes of the Friedenstein Castle Foundation Gotha

In the Perthes of the Friedenstein Castle Foundation (SSFG), the planning, coordination and implementation of a basic digitization of approx. 15%-20% of the collection objects (approx. 800,000) located there is to take place, i.e. approx. 143,000 objects. For this purpose, data collection stations are to be set up on the premises of the Perthes. The objects are to be brought there by the contractor in order to digitize them photographically according to the specifications of the SSFG.

The tasks of the contractor also include, among other things, the cleaning of the objects, their marking, the digital recording and administration in the database, the transport and, if necessary, the implementation of emergency security measures on the objects. In addition, the contractor, in consultation with the SSFG, selects individual objects for later high-quality 3D digitization and prepares the necessary tender documents. Any necessary restoration measures must also be planned and prepared by the contractor in consultation with the SSFG. The same applies to the (new) use of old packaging or the procurement of new packaging.

The comprehensive preliminary study by ProDenkmal will be made available with the tender documents.

Further details on this tender can be found in the terms of reference made available on the tendering platform. The provision of services is scheduled to begin in the fourth quarter of 2023 and end in December 2027.

As a cultural institution of national importance, the Friedenstein Castle Gotha Foundation (SSFG), together with other institutions in Gotha and the surrounding area, is a unique ensemble of buildings, gardens and collections of European residence culture. It consists of a total of four museums: the Castle Museum, the Historical Museum, the Museum of Nature and the Ducal Museum. The foundation owns more than 1 million objects, spread over more than 80 historically grown collection areas. As part of a "Gotha transdigital" project funded by the European Union, the Federal Republic of Germany and the State of Thuringia, the SSFG intends to make the collection digitally available and, in addition, to transform all work and mediation processes under the premise of digitality.

The subject of this call for proposals is the basic digitisation of the collection holdings in the Perthesforum (Perthes), taking into account conservation and restoration concerns. In the Perthes of the SSFG, the planning, coordination and implementation of a basic digitization of approx. 15%-20% of the collection objects (approx. 800,000) located there is to take place, i.e. approx. 143,000 objects. Any necessary restoration measures must also be planned and prepared by the contractor in consultation with the SSFG. The same applies to the (new) use of old packaging or the procurement of new packaging.

An on-site visit is recommended with a view to the quotation calculation! In addition, reference is made to the comprehensive preliminary study by ProDenkmal in the tender documents.

Further details on this tender can be found in the terms of reference. The provision of services is scheduled to begin in the fourth quarter of 2023 and end in December 2027.

The "Gotha transdigital" project will be funded until the end of 2027. The approval notice for the current funding period is limited until 31.12.2023. Project funding beyond 31.12.2023 has been applied for. The approval notice from the funding body is to be issued at the end of this year. In this regard, the SSFG is in close contact with the funding body. It is planned to start the pilot phase in the fourth quarter of 2023. As things stand at present, an extension of project funding is to be expected. However, SSFG cannot place an order beyond 31.12.2023 due to special funding requirements, so that the services will have to be offered as an option from 2024.
