The object of the procurement is a comprehensive service that includes the processing and digitisation of incoming and outgoing mail included in the registry services of the Finnish Transport and Communications Agency Traficom, as well as separately designated document management tasks assisting the registry service, which are carried out at the agency's premises using tools, methods and systems in the agency's possession.

The service package is described in more detail in Appendix 1 of the invitation to tender: Description of the object of the service.

The aim is a high-quality and professional service that promotes the electronic nature of Traficom's operations and services and assists the Registry Service in implementing compliance by completing agreed and predetermined tasks within the required time.

The object of the procurement is a comprehensive service that provides the Contracting entity with a document management service that supports the registry service. During the commissioning phase, the Service includes at least the processing and digitisation of incoming and outgoing mail addressed to the Registry and the export of documents to a network disk, the registration of separately defined tasks of the Contracting entity in case management systems, and assistance with requests for information from the Subscriber's archive facilities on assignment. During the service, when the Client's operations change, the service may include other tasks belonging to the document management area of responsibility.

The Services will be taken into use during an orientation period arranged by the Contracting entity, which will begin immediately after the contract has been signed.

Orientation during the course will be carried out, among other things:

- orientation to the Customer's operations

- orientation to tasks through processes and work instructions

- training in the equipment and software used in the tasks,

After orientation, the supplier is required to implement the service in accordance with the procurement agreement and service level requirements.

The Contracting entity will instruct and familiarise the Contracting entity with the change tasks during the service.

Tenderers can familiarise themselves with the preliminarily reserved workspaces on 8.6.2023 at 10.30-12.00 at Opastinsilta 12 A.

Participation in the visit is not a prerequisite for participation in the invitation to tender and does not affect the evaluation of tenders. The sole purpose is to enable tenderers to access the working premises if they so wish.
