The BIM Berlin Real Estate Management GmbH (BIM) intends to procure and implement a new Document Management System (DMS) for company-wide use. The goal of the project is to provide a central, secure, and audit-compliant platform for the management, processing, and archiving of documents and files. The DMS is designed to support cross-departmental collaboration, reduce existing media breaks, and ensure compliance with legal, data protection, and organizational requirements. Initially, the operation will take place on-premises at the BIM data center. In the long term, the solution is to technically support hybrid or cloud-based operating models.
The scope of services includes in particular:
- Provision, implementation, and introduction of the DMS software including installation, configuration, and training,
- Integration into existing systems, especially SAP S/4HANA, email, and office environments,
- Migration of existing documents and metadata,
- Design and implementation of defined workflows, archiving, and authorization structures,
- Ensuring information security, digital accessibility, and compliance with the GDPR,
- Operation, maintenance, and software care (maintenance S) including service level management.
The project is part of the BIM's digitalization strategy and is closely related to the parallel-running projects 'BIM SAP 2028' and 'BitX', which aim to modernize and integrate central business processes and specialized procedures.
The contract duration is 48 months with an option for a one-time extension of up to 24 months. The basis for service provision is the EVB-IT system contract in its currently valid version.
