The framework agreement consists of two parts: the organisation of events and services (including equipment) on demand.
1. Events:
The awarded supplier will provide integral support to the 'Events' service for the organisation and implementation of events. Both large meetings of more than 250 people (such as the executive meeting, the Fluvius day, New Year's reception...) and smaller meetings with fewer than 250 participants (such as information sessions for management boards, DNB meetings...) are in scope. For large events, the partner is on board from the concept phase to realization: for each assignment, a proposal is worked out of concept, technical setup, required material and technical support during the event. He is responsible for the construction, the smooth running during the meeting, the dismantling after the event and any aftercare.
2. On-demand materials and services:
- Rental / purchase of audiovisual equipment (e.g. sound system)
- Maintenance on these resources (e.g. repair)
- Technical support for the Fluvius studio and at events
- Advice (technique / design)
- Logistics (storage & transport of material)
It is not about multimedia solutions for the Fluvius meeting rooms. Fixed installations within Fluvius buildings without the operation of a technician are managed by the 'ICT systems & Operations – workplaces' department.
Information and exhibition stands are also outside the scope of this assignment.
