Organization of local product fairs.
The successful tenderer shall perform event organization tasks for the project identified as TOP_PLUSZ-3.1.1-21-BO1-2022-00001 titled "Economic and Employment Pact 2.0 for Borsod-Abaúj-Zemplén County". Planned event name: Local product fairs. Planned venue: The series of programs will take place in 8 locations across the settlements of Borsod-Abaúj-Zemplén County. The contracting authority will agree on the specific, settlement-level venues with the tenderer two months before the implementation of each program. Number of occasions: a total of 8 times. Event dates: in the year 2027. Event duration: on weekends between 9:00 a.m. and 2:00 p.m. General infrastructure requirements: In locations where built infrastructure (e.g., fixed sales booths, electrical connection points, restrooms, trash bins) is not available or insufficient, the tenderer is responsible for providing the missing equipment. The tenderer must set its bid price to include full availability of the described infrastructure (either with own equipment or rental) at all venues. The contracting authority will inform the winning tenderer about the exact number and condition of available fixed equipment at the venue when designating specific locations (2 months prior to implementation). TASKS TO BE PERFORMED o Provision of area, payment of any area occupation fees. o Provision of electrical connection. o Provision of at least 10 booths (sales counters) per fair, at least 5 for local producers and 5 for craftsmen. o Identification and invitation of local producers/craftsmen equal to the number of booths for participation in the fairs; at least 10 producers/craftsmen per fair. The selection must be consulted with the contracting authority before contacting or inviting the producers and craftsmen. o Provision of mobile restrooms (minimum 2 units, one of which must be accessible). o Complete setup and dismantling of booths, except when using existing built infrastructure on site. o The tenderer is responsible for recruiting visitors/participants/customers to the event. o Promotion of the event on social media: at least 1 post (with text and visual illustration) per occasion, with targeted display to 75,000 in the contracting authority pre-designated municipality and its surrounding area. o Provision of sound system and stage/platform for performers. o Payment of Artisjus music royalties. o At least 2 local amateur music or dance groups or individuals performing, each minimum 15 minutes, including hosting and payment of performance fees. o Placement of trash bins during the event. o Keeping and completion of attendance sheets and questionnaires provided by the contracting authority for fair visitors and local producers. o Placement and visibility of communication tools provided by the contracting authority in easily visible locations throughout the entire program. o Preparation and execution of fairs, and photographic documentation of participants. Technical requirements: minimum 2448*3264 (~8.0 MP), 300 dpi, total of at least 20 photos, including at least 5 showing crowd sizes without identifiable individuals, and at least 3 showing participants together with communication tools (roll-up or board) provided by the contracting authority. o Restoration of the venue to its original condition after the event. o Compliance with legal obligations. o Preparation of professional reports for each implemented program using forms provided by the contracting authority. Presentation of the operation of social economies.
The successful tenderer is tasked with event organization within the project identified as TOP_PLUSZ-3.1.1-21-BO1-2022-00001 titled "Economic and Employment Pact 2.0 for Borsod-Abaúj-Zemplén County". Planned event name: Presentation of the operation of social economies through study tours. Planned venue: Bus study tours organized to social economies operating in Borsod-Abaúj-Zemplén County, agreed later with the contracting authority, for representatives of social enterprises, municipalities, local producers, and the Chamber of Agriculture. The contracting authority will agree on the specific, settlement-level venues with the tenderer two months before each program implementation. Number of occasions: 2 times in total. Number of participants: minimum 15, maximum 20 per occasion. Event dates: in the year 2027. Event duration: approximately 4 hours from departure until return to the starting location, either at 9:00 a.m. or 1:00 p.m. General expectations concerning the study tours: The tenderer must set the bid price based on the maximum number of participants (20) within the given range (15-20). Providing meals (catering) for participants during the study tours is not required. TASKS TO BE PERFORMED: o In coordination with the contracting authority, identification and organization of study tour participants. o Conducting negotiations with selected social economies regarding the content elements of the study tours: representatives of model farms may present their organizations, activities, production and sales processes at their premises. On site, farm managers, production, economic, sales managers, or employees will personally and interactively involve participants in specific processes (e.g., participants can try certain production stages). o Provision of 1 escort per group. o Payment of professional speakers and rental fees as they arise. o Provision of buses (e.g., minibuses, minimum 15, maximum 20 seats) and 1 driver for the study tours. o Provision of necessary technical equipment (e.g., projector, screen, protective gear). o Keeping and completion of attendance sheets and questionnaires provided by the contracting authority for study tour participants and host farm staff. o Placement and visibility of communication tools provided by the contracting authority in clearly visible locations throughout the entire program. o Preparation and execution of study tours and photographic documentation of participants. Technical requirements: minimum 2448*3264 (~8.0 MP), 300 dpi, total of at least 20 photos, including at least 5 showing crowd sizes without identifiable individuals, and at least 3 showing participants together with communication tools (roll-up or board) provided by the contracting authority. o Preparation of professional reports for each implemented program using forms provided by the contracting authority.
